We are looking for a well-organized individual who likes to build relationships for the role of Executive Assistant to two senior leaders of the Office:
- Managing Director Energy and Resources – Stephen Duggan (Perth)
- Managing Director Air, Land and Sea Transport – Dr Brett Anderson (Melbourne)
Overall, your time will be split equally between the two GMs and contribute as a member of their teams. The Bureau’s Executive Assistants act as the primary point of contact for clients, partners, stakeholders and colleagues who wish to spend time with the Executive Directors. You will often be responsible for creating the first impression of the Office, so your ability to communicate in a friendly, helpful and professional manner is essential.
You will also play a key role in enabling leadership teams to operate effectively, assisting with meeting logistics, and drafting communication to keep larger program teams informed. This will include creating digital content and maintaining our intranet sites (Sharepoint), posting routine updates through various channels (Yammer and MS Teams) and ensuring team actions and individual are effectively managed and monitored (MS Planner). You will be part of a community of EAs who support each other and develop a strong network of relationships within the company. You’ll also become an expert in the processes essential to running the business, from recruiting and sourcing, to booking travel and planning workshops and events.
To be successful in this role, you will use your strong interpersonal skills and be confident to work face-to-face as part of a team, but also be adept at using technology to connect with people. High level organizational and time management skills are essential for the position, including diary management, correspondence management and working with colleagues across the company. Ideally, you will have experience handling sensitive and confidential information, including briefs, submissions and presentations.
